Booking Apps for Clinics and Salons: Off-the-Shelf or Custom?

Booking Apps for Clinics and Salons: Off-the-Shelf or Custom?

Quick summary

Most Saudi clinics and salons do not need a custom system — subscribing to a ready booking product is faster, cheaper and entirely sufficient. A custom build earns its cost in three cases only: multiple branches under unified management, deep integration with an existing system, or a workflow no generic product accommodates. And the feature that pays for itself fastest is not the app's design but taking a deposit at booking — because it addresses this sector's largest loss: the appointment nobody shows up for.

The real problem is not booking

When we sit with a salon or clinic owner, the first problem mentioned is "we arrange appointments over WhatsApp". But the larger loss appears two questions later: how many appointments are no-shows each week? A missed appointment is a double loss — empty time that cannot be sold, and another customer turned away because the slot was held.

So we judge any booking system by three practical criteria before its appearance: does it accept a deposit at booking, does it remind the customer automatically with enough notice for a cancellation to be resold, and does it work around the clock instead of waiting for a receptionist.

Real pricing

A ready subscription costs a monthly fee scaled to branches and team members, starting very small. A custom system starts around SAR 25,000 for a single module delivered in four to eight weeks, reaching SAR 60,000 – 150,000 for a multi-module system with permissions and reporting. A dedicated customer mobile app sits on top of that — and our advice is do not start there. Start with a booking page that works on mobile; the app follows once your customers prove they return.

We build these as custom business systems when building is genuinely justified, and say plainly when it is not.

Frequently asked questions

Do deposits put customers off?
The worry is reasonable, but practice suggests the opposite for mid- and high-value services: serious customers do not mind, and the ones who do are precisely those who would have missed the appointment. Start with a small nominal deposit and measure the change in attendance for one month before deciding.
How does a clinic system differ from a salon system?
The difference is not the booking but everything around it. A clinic needs patient records, visit history and stronger data privacy. A salon needs appointments tied to a specific staff member, service duration and commission calculation. A single system "for both" is usually shallow at both.
Do I need an app, or is a booking link enough?
A link is enough at first and works from an Instagram bio or a WhatsApp message with no download. An app earns its cost once the same customer returns repeatedly — at that point notifications become a free channel instead of paid ads.
How long does it take to go live?
A ready subscription: days. A custom system: four to eight weeks for the first usable module. Real team adoption usually needs two more months, because the hard part is changing the habit of working over WhatsApp, not the code.
